This page describes how Aventura Condo Rental ("we", "us", "the site") handles personal information when you visit aventuracondorental.com or send us an inquiry.

Who we are

What information we collect

Through the inquiry form

When you submit the inquiry form on this site, we collect:

  • Your name
  • Your email address
  • Your phone number (optional)
  • Your travel details: which apartment you're interested in, move-in date, approximate stay length, number of adults and children, primary purpose of stay
  • Any free-text notes you choose to provide

Technical metadata logged with each inquiry

For security and fraud prevention, we automatically record alongside each inquiry:

  • Your IP address
  • Your browser's user-agent string
  • The date and time of submission

This information is stored in our WordPress database as a private custom post type that only site administrators can view.

What we don't collect

This site has no analytics tracking, no advertising pixels, and no third-party trackers as of [OLIVER: live date]. We do not use Google Analytics, Meta Pixel, or any equivalent tool.

How we use your information

We use the information you provide solely to:

  • Respond to your rental inquiry
  • Prepare a custom quote for your stay
  • Communicate with you about a potential or active rental
  • Comply with applicable tax and rental regulations

[OLIVER: confirm we do not use inquiry data for any other purpose. If you ever want to send a previous-guest newsletter or seasonal update, that requires explicit opt-in consent and a separate paragraph here.]

Who we share your information with

The community office (HOA)

If you proceed to reserve an apartment, the gated community's management office requires a tenant application. At that point we share your name and contact information with the HOA so they can process the application. The HOA's privacy practices are their own and we do not control them.

Email service providers

Inquiry confirmations are delivered through [OLIVER: fill in once SMTP relay is selected — likely Postmark, Mailgun, or SendGrid]. The provider processes your email address and the message body solely to deliver the email and is bound by their own privacy policy.

Hosting provider

This site is hosted on infrastructure provided by Contabo. Standard server access logs (IP, request path, timestamp) are kept by the hosting provider for [OLIVER: confirm Contabo's log retention period — check their data processing agreement].

We do not sell your data

We do not sell, rent, or trade your personal information to any third party for any purpose.

Cookies and similar technologies

Cookies on first load

This site sets no cookies on a first-time visitor. The only cookies that may be set are those WordPress uses to keep an admin user logged in, which never apply to public visitors.

Third-party fonts

We load typography from Google Fonts (fonts.googleapis.com and fonts.gstatic.com). When your browser fetches a font, Google receives your IP address and your browser's user-agent. Google's handling of that data is governed by their own privacy policy at policies.google.com/privacy.

[OLIVER: if you receive significant EU/EEA traffic or want to be more conservative, we have a planned fix to self-host the fonts and remove this third-party connection entirely. See audit P2 item #40.]

iCal calendar feeds

This site does not currently expose iCal availability feeds publicly.

[OLIVER: this section will need to be updated if you ever add public availability calendars. The disclosure should explain that the iCal URL contains a secret token, that anyone with the URL can read availability, and that revoking access requires generating a new token.]

How long we keep your information

  • Inquiry form submissions: stored as private posts in WordPress for [OLIVER: fill in retention period — e.g. "two years from the inquiry date" or "until the related stay has been completed plus three years for tax records"].
  • IP address and user-agent: [OLIVER: fill in — recommend 90 days unless flagged for security].

Your rights

Depending on where you live, you may have rights including:

  • The right to access the personal information we hold about you
  • The right to request correction of inaccurate information

  • The right to object to or restrict our processing

[OLIVER: this section may need expansion if you have substantial CCPA-applicable California traffic or substantial EU/UK traffic. For mostly-US traffic the section as written is generally adequate, but a privacy lawyer can confirm — recommend $200–$500 of legal review before publishing.]

Children's privacy

This site is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has submitted information through our site, please email us and we will delete it.

Security

We use HTTPS for all traffic, restrict administrative access to the site, and limit who can view inquiry submissions. No system can be guaranteed completely secure, but we follow reasonable practices to protect the information we hold.
